Standard: 

Medical information may be sent by fax as a method of communication with other healthcare providers, ensuring resident confidentiality is protected. 

Procedure: 

  • Cover Letters: 

  • Use cover letters addressed to a specific provider when sending faxes. 

  • Documentation in Medical Record: 

  • Include a nurse’s note in the medical record regarding the information faxed. 

  • All faxes received from other providers containing orders should be included in the resident’s medical record and signed by the MD/APRN/PA. 

  • Follow-Up: 

  • The licensed nurse is responsible for making subsequent phone calls if faxed information requiring treatment orders is not responded to in a timely manner. If necessary, notify the Medical Director. 

  • Physician Orders: 

  • Faxed physician orders should be placed into the physician order section of the medical record and transcribed accordingly.
